Ask a small business owner in India where their customers actually reply, and the answer is almost never email. It's WhatsApp. It's where the enquiry lands, where the price is negotiated, where the payment screenshot arrives, and where the "is it ready?" message comes at 9pm. For most local businesses, WhatsApp isn't a marketing channel — it's the whole shop counter.

The problem is that most owners run this on their personal WhatsApp: no business profile, no catalog, no structure, and no way to reach customers at scale without breaking the rules and risking a ban. WhatsApp Business fixes all of that, it's free, and setting it up properly takes an afternoon. Here's how.

First: Which WhatsApp Are You Actually On?

There are three different things all called "WhatsApp," and confusing them wastes money. Here's the honest version.

Personal WhatsApp
The regular app. No business profile, no catalog, no automation. Fine to start, but you're leaving every business feature on the table.
For: personal use only
WhatsApp Business App
A free, separate app. Adds a business profile, product catalog, quick replies, greeting/away messages, labels, and broadcasts.
For: almost every small business
WhatsApp Business Platform (API)
Paid, per-conversation. Enables multiple agents on one number, chatbots, and bulk opt-in messaging — but needs setup through a provider.
For: high-volume teams

This guide is about the middle one — the free WhatsApp Business app. It covers what 95% of small businesses need. You only outgrow it when you have several staff answering one number or you're messaging thousands of opted-in contacts.

You do not need the paid API to run a serious WhatsApp presence. Most businesses that pay for it early are solving a problem they don't have yet.

Setting Up Your Business Profile

Download WhatsApp Business from the Play Store or App Store. You can register it on a different number from your personal WhatsApp — many owners use a dedicated business SIM or a second number on the same phone. If you want to move an existing number over, WhatsApp walks you through migrating the chat history.

Then fill in the business profile completely. This is what customers see when they tap your name, and a blank profile reads as a personal number, not a business:

  • Business name, logo as the display picture, and a one-line description
  • Category (Retail, Restaurant, Salon, etc.)
  • Business hours — so customers know when to expect a reply
  • Address or service area, plus a Google Maps pin if you have a storefront
  • Website and email, if you have them
  • A short "about" line — what you sell and where

A complete profile does the same job here that it does on your Google Business Profile: it signals a real, trustworthy business and quietly raises the chance a first-time enquirer actually buys.

Product Catalogs: Turn the Chat Into a Storefront

The catalog is the most underused feature in the app, and the one that changes WhatsApp from a messaging thread into a storefront. Instead of sending the same five product photos and prices to every new enquiry, you build them once and share a link or attach items in a tap.

What to add

For each item you can add a name, price, description, an image, and a product link. Under Business Tools → Catalog, add your products or services one by one:

  • Use one clear photo per item — good product photography matters here as much as anywhere, and you can shoot it well on a phone (see our budget photography guide)
  • Put the actual price in, or "Price on request" for custom work
  • Write a one-line description with the detail customers always ask for — size, material, delivery time
  • Group services the same way a salon or studio would list packages

Once it's built, a customer can browse your catalog inside the chat, tap an item, and send it back to you as an enquiry — no back-and-forth photo-hunting. You can also share your whole catalog as a single link on Instagram, your website, or a Google Post.

Automation: Reply Instantly, Even at 2am

A customer who messages and hears nothing for six hours often messages a competitor too. The app's built-in automations mean nobody is ever met with silence — without you being glued to the phone.

  • Greeting message — sent automatically the first time someone messages you, or after 14 days of inactivity. Use it to say hello and set a response-time expectation.
  • Away message — sent outside business hours so late-night enquiries get an instant, honest "we'll reply in the morning" instead of nothing.
  • Quick replies — save canned answers to the questions you type ten times a day (pricing, location, delivery) and drop them in with a shortcut like /price.
  • Labels — colour-tag chats as New enquiry, Paid, Pending, or Follow-up so no lead slips through the cracks.

This is the same principle behind the wider case for automating repetitive work: let software handle the mechanical part so your time goes to the conversations that actually need a human.

Broadcasts vs Groups: Reaching Customers the Right Way

This is where most businesses go wrong. To send an update to many customers at once — a festive offer, a new arrival, a restock — you want a broadcast list, not a group.

The difference matters. In a group, everyone sees everyone's number and every reply, which is a privacy problem and quickly turns into chaos. A broadcast sends your message to each person as a normal private one-to-one chat — they can't see the other recipients, and they reply to you privately.

The one rule that makes broadcasts work

A broadcast only reaches contacts who have saved your number. If a customer hasn't added you to their contacts, your broadcast silently never arrives. This single fact explains almost every "my broadcasts don't work" complaint.

So the goal is to get customers to save your number — ask them to, tell them why (offers, order updates), and make it worth it. Then:

  • Keep each broadcast list under 256 contacts; make more lists if needed
  • Segment lists by interest or location so messages stay relevant
  • Send sparingly — a genuinely useful update, not daily noise
  • Always give value: an actual offer, a real restock, useful news

How to Not Get Your Number Banned

WhatsApp protects its users aggressively, and a business number that behaves like spam gets restricted or permanently banned — taking your entire customer history with it. Avoid the patterns that trigger it.

  • Messaging people who never contacted you. Buying a list of numbers and blasting them is the fastest route to a ban. Only message customers who reached out or opted in.
  • Getting reported and blocked. If enough recipients block or report you, WhatsApp acts. Relevance and consent are your protection.
  • Sending identical bulk messages rapidly from a new number. This reads as automated spam. Warm a new number up gradually.
  • Using unofficial "bulk sender" apps. Third-party tools that automate the personal app violate the terms and are a common ban trigger. Use the official app or the official API.
  • Treating broadcasts like a daily newsletter. Over-messaging drives blocks, which drives bans. Less, but useful, wins.

Your WhatsApp Business Starter Checklist

An afternoon of setup, then a couple of ongoing habits. In order:

One-time setup

  • Install WhatsApp Business and register your business number
  • Complete the full profile — logo, description, hours, address, links
  • Build your catalog with clear photos, prices, and descriptions
  • Write a greeting message, an away message, and 5–10 quick replies

Ongoing habits

  • Add a "Save our number for offers & order updates" line at every touchpoint
  • Label every new chat so follow-ups don't get lost
  • Put your WhatsApp click-to-chat link (wa.me/91xxxxxxxxxx) on your website, Instagram bio, and Google profile
  • Send broadcasts only when you have something genuinely worth saying

Done well, WhatsApp Business turns a messy personal-number chat into a proper sales channel: customers browse your catalog, get an instant reply at any hour, and hear from you when it actually matters. It's the highest-return free tool most Indian small businesses aren't using properly — and it takes an afternoon to fix.
